Publishing guide

A calmer way to publish.

Everything Aurelia can do, where to find it, and how publishing works behind the scenes.

Connect Instagram in 4 easy steps

New registrations are temporarily closed. Already have an Aurelia account? Sign in to connect Instagram.

Early access: if you haven’t been invited yet, ask the Aurelia owner to enable your Instagram @username before connecting.
  1. Check your Instagram account

You need a Business or Creator account. If you already have one, move to step 2. If your account is personal, open How to switch a personal account below.

  2. Click Connect Instagram

In Aurelia, open Accounts in the sidebar, then click Connect Instagram. Instagram will open its own sign-in screen.

  3. Sign in and allow access

Sign in to the Instagram account you want to connect. Check the @username, then click Allow to approve access. Instagram may show the app name sanjayahlawat - IG.

  4. Come back and sync

Instagram brings you back to Aurelia. Your account should show Connected. Click Sync account to import your profile and recent posts. You’re ready to create your first post.

Enter your Instagram password only on Instagram. Connecting and syncing do not publish anything.

How to switch a personal account

On your phone, open Instagram and follow these steps:

  1. Go to your profile and tap the ☰ menu at the top right.
  2. Under For professionals, tap Account type and tools.
  3. Tap Switch to professional account and choose a category.
  4. Choose Creator or Business, then finish the on-screen setup. Choose Business if you want to publish Stories.
  5. Return to Aurelia and continue with step 2.

Professional accounts are public. You do not need a Facebook Page for Aurelia’s Instagram connection.

See Instagram’s account setup instructions
The wrong Instagram account appears

Cancel the connection. Open instagram.com in the same browser, sign out of the wrong account, and sign in to the one you want. Return to Aurelia and click Connect Instagram again.

Instagram says I don’t have permission

During early access, your Instagram account may need an invitation. Contact the Aurelia owner with your @username and ask them to enable your account and help you accept the tester invitation. Never send your password or verification codes.

I cancelled or the connection expired

Return to Accounts and click Connect Instagram to start again. Finish the Instagram approval within 10 minutes.

I see Invalid redirect_uri

Contact the Aurelia owner with a screenshot of the error. This needs an app setup check; you do not need to change your Instagram password or account type.

From idea to published

  1. Sign in to your Aurelia account and set your timezone.
  2. Follow the Instagram connection guide to connect your account. When the demo account is enabled, you can try the workflow without publishing anything.
  3. Upload JPEG photos or MP4/MOV videos to Media, or generate an image. Use descriptive alt text for feed images.
  4. Create a post: choose an account and format, select media, and write a caption. Aurelia saves your work in the browser as you type, and you can save it as a draft whenever you like.
  5. Choose a future date and time, then schedule. The queue shows each post’s state, and the calendar lets you move scheduled posts to another day.

Media and formats

Single images use one JPEG. Carousels use 2–10 images or videos, in the order shown in the composer. Reels use one video. Stories use one image or video and require a Business account. Captions are not applied to Stories. Uploads are limited to 100 MB per file, and you can upload straight from the composer without leaving your post.

For feed images, use an aspect ratio between 4:5 and 1.91:1. For Reels and Stories, vertical 9:16 media works best. Use H.264 or HEVC video with AAC audio; Instagram validates the final media specifications.

In Media, give files a folder and mark them evergreen, seasonal or unavailable, with an optional “available through” date. Filter by “never published” to find photos you haven’t used. To turn a photo shoot into posts, tick the photos and use One shoot, several posts to create three drafts.

Generating images

When the workspace owner has turned it on, Media shows Generate an image with Codex. Describe the subject, setting, colours and any exact text; pick a visual style and a format (square 1080×1080, feed portrait 1080×1350 or Story 1080×1920). The finished JPEG is saved privately in your library. Images are made one at a time and usually take a few minutes. You can leave the page while it works, and nothing is published automatically.

Generation uses the owner’s Codex subscription on the machine running Aurelia, so other Aurelia accounts don’t see this option.

Planning tools

Open Planning in the sidebar. Its tabs give you six tools:

  • Plan my week: enter the minutes you have, how many posts you want, your posting days and an optional goal. Aurelia picks the drafts that fit, based on each post’s preparation estimate and checklist, and shows you a preview first. Ready posts are scheduled; unfinished ones get a planning date and stay as drafts. It leaves two hours around posts that are already scheduled.
  • Recover after a break: pause the queue, then review every overdue post. Spread the useful ones into your next free slots or hold them as drafts. Applying the plan resumes the queue.
  • Campaigns: choose a launch, event, episode or photo-shoot template and an event date to create a dated sequence of drafts. Change the event date later and preview how every post moves; posts marked “fixed” stay where they are.
  • Follow-ups: note a promise from a caption or a question from your audience, with a due date. Turn it into a draft, or link a post you already have.
  • Publishing rehearsal: a final check of upcoming posts, covered in the next section.
  • Experiments: ask one question, assign posts and a variant name in the composer, and compare the results. See Analytics and experiments below.

Each post’s Preparation & planning section in the composer holds the settings these tools use: time estimate, content goal, checklist, planning date, “do not publish after” deadline, waiting for another post to publish first, approval, and experiment.

Rehearsal and client reviews

Publishing rehearsal checks every scheduled and planned post against what Instagram needs: the right number and kind of media, hashtag limits, account connection, Story requirements, deadlines, media availability, approval and unfinished preparation tasks. These checks run on Aurelia’s side; Instagram still makes the final call. The same checks run just before publishing, and you’ll get an in-app alert for any unfinished post due within 24 hours.

Client reviews let you share selected posts through a private link that expires after 1–30 days. Reviewers don’t need an account. They can approve a version or request changes for the whole post, the caption or a specific slide. Selected posts won’t publish until the current version is approved, and changing the caption, account, format, media or slide order asks for a fresh review. You can revoke a link at any time. Creating a link doesn’t send a message; share it yourself.

Scheduling and retries

All times you enter use your profile timezone. Aurelia stores the publishing moment in UTC, so changing your timezone changes how existing posts are displayed, not when they publish.

Pausing the queue stops new publishes. Posts already publishing may finish. When you resume, overdue posts publish on the next scheduler run, and if any are overdue you’ll be offered a catch-up plan first. Short failures before sending are retried, waiting a little longer each time. A failed post can be corrected and retried.

If Instagram does not confirm a publish, the post is marked Attention. Check Instagram first, then record what happened on the post’s page. Aurelia won’t repeat a request that may already have published.

Analytics and experiments

Syncing imports your latest 100 Instagram posts with their available likes and comments. Analytics add up the interactions on posts published within the period you choose (7, 30 or 90 days), show a heatmap by publishing day and hour, and export to CSV. Audience compares daily follower snapshots. Simulated posts are left out.

Experiments compare likes or comments captured 24 hours or 7 days after publication, or inquiries and bookings you record yourself. Small samples are labelled as exploratory. Results show patterns, not proof that a change caused them.

Shortcuts and settings

Press / to search posts and captions, and N to start a new post. Use the sun and moon button to switch between light and dark themes; your choice is remembered in this browser. Change your name, email, timezone and password in Settings.

Your data

Your posts, media and saved text are private to your Aurelia account. Instagram tokens are encrypted at rest. When a post publishes, Instagram gets a temporary signed link to fetch the selected media. Review links only show the versions you selected, and only until they expire or are revoked. Disconnecting an account removes its saved token, and you can also revoke access from Instagram at any time.

Operating the scheduler

The application needs a running queue worker and the Laravel scheduler. Deployment and mail configuration are documented in the project README. A Cloudflare quick tunnel is for temporary testing; its address changes when a new tunnel is created.
